Sydney Youth Musical Theatre (Hornsby) Inc (SYMT) respects your privacy. This statement explains what we collect, why, and what you can ask us to do about it.

What we collect

• When you join our mailing list: your name and email address.
• When you send an enquiry (costume hire, set hire, expressions of interest, production team applications): your name, email address, your message, and for production team applications, any CV you choose to attach.
• When you audition or perform with us: the information on our audition and membership forms. Where a performer is under 18 years of age, we collect information from or with the consent of a parent or guardian, including parent or guardian contact details needed to manage participation in SYMT activities.

We do not collect card or online payment details through this website. Ticket sales are handled by TicketSearch under its own privacy terms. Donations may be made through Square under its own privacy terms, or by direct deposit. If you donate by direct deposit, we may receive limited payment reference information from our bank, such as the account name, payment reference and amount. We do not receive or store card or online payment details through this website.

Why we collect it

To answer your enquiry, to run our productions and only if you have asked for it, to send you news about our shows.

Marketing emails

We only send marketing emails to people who have asked for it, either by joining our mailing list or by ticking the box on an enquiry form. Every marketing email we send has an unsubscribe link, and unsubscribing takes effect immediately.

Who can see it

Your information is handled by SYMT committee members and volunteers who need it for the purpose above.

We use established third-party providers to hold it: a website and forms host, an email marketing platform, an email provider, and cloud storage for our committee records and photographs. We do not sell your information, and we do not share it with anyone else for their own marketing.

Some service providers we may use store or process information outside Australia, including in the United States and the European Union. By providing your information to us, you acknowledge that your information may be stored or processed in those countries.

Security of information

We take reasonable steps to protect personal information from misuse, loss, unauthorised access, modification and disclosure. Access to personal information is limited to committee members and volunteers who require it for their role.

Photographs

We photograph our productions and those photographs appear on this website, in our programmes and on our social media. Cast members, and a parent or guardian where the performer is under 18, agree to this when they sign our Code of Conduct on joining a production.

If you would like a photograph of yourself or your child removed, contact us at enquiries@symt.com.au and we will take reasonable steps to remove it from platforms and materials under our control.

How long we keep it

We retain historical records, programmes, cast lists and photographs as part of the history of SYMT. Some correspondence and administrative records may be retained indefinitely. Where appropriate, and where requested, we will delete personal information that is no longer required for our activities.

You can ask us to delete information we hold about you at any time. See Your choices below. We remove you from our mailing list as soon as you unsubscribe.

Your choices

You can ask us what personal information we hold about you, ask us to correct it, ask us to delete it, or unsubscribe from our emails at any time. We will consider all requests and, where practical and lawful, delete or de-identify the information that is no longer required for our activities.

Privacy-related enquiries can be sent to enquiries@symt.com.au. Requests are handled by the President, the Secretary and the Website Administrator, and we aim to respond within 30 days.
